Overview
--------
Using HotNotes! with Family Records (FR) is like two people dancing-- the
two must work together in harmony, yet they must not step on each other's
toes! They must operate together-- both in tandem.
HotNotes! works from within FR, behind the scenes monitoring FR's
activities. When called upon through hot keys, HotNotes! responds and FR
waits. HotNotes! is really the master, and FR the slave. That way,
HotNotes! can control when it is needed.
In this manual, you learn how to use the fundamental HotNotes! features.
These instructions give you a good idea how the full commercial version
of HotNotes! works.

HotNotes! is a tool to enhance and expand the functions of the PAF Family
Records (FR) program. HotNotes! is an add-in program to FR, working in
tandem with its commands and functions. HotNotes! co-resides with FR in
memory and works from within FR during operation. HotNotes! literally
intercepts FR keyboard commands, adding many of its own. This in effect,
extends the functionality of FR. Together they make a powerful
combination.
The original and present design goals of HotNotes! has been to create an
on-line assist for you while entering FR notes. It has been designed to
conform to the standards of the latest version of the Silicon Valley PAF
Users Group's "PAF Documentation Guidelines." HotNotes! has been created
with these two specific goals in mind:
o Help the PAF user be encouraged to use
the Documentation Standards, and
o Help eliminate computer busy-work!
Since Version 1.0 in 1991, HotNotes! has evolved into an increasingly
powerful and versatile tool. Starting with HotNotes! Version 2.2, many
more powerful features were added: a small 1-2 page word wrapping editor,
a complete source menu and database management system, direct import of
external text files into notes, user-defined keyboard macros, true cut
and paste editing to the Notes screen, as well as the tag insertion menu.
We designed HotNotes! specifically to promote the philosophy to:

HotNotes! was created to dramatically reduce the need to re-enter the
same note information over and over again. We believe computers should
do the repetitive work for us, not the reverse. Consequently we made a
convenient way for TAGS, Sources and repetitive keystrokes to be reused,
over and over again, without re-typing. Thus HotNotes! was designed to
ease this burden.
From the start, we have viewed TAGs as a flexible, extensible, uniform
way for people to categorize and uniformly share documentation
information. When we helped write the original Documentation Guidelines
(of the Silicon Valley PAF Users Group,) TAGs were discussed as a way to
broadcast this standard as a universal convention. The more people who
document the same way, the better the quality and effectiveness in the
exchange of source citation data.
Appendix G of the PAF 2.2 Reference Manual provided the concept upon
which we could build. To ensure consistency in following these "rules,"
it quickly became apparent that most people would not (at least we
wouldn't) go to the effort of inserting TAGs or other source information

unless it were "convenient." HotNotes! Version 2 make it very easy to
enter and reuse your favorite TAGs and SOURCES.
HotNotes!, in summary, provides tools to help you enter and reenter note
information. Secondarily, it can be used to record macros to enter
repetitive names or places during individual data entry, or automate
movements between menus.

Starting HotNotes!
------------------
To start HotNotes! simply type:
HN then press <Enter>.
When starting, HotNotes! senses your video hardware and attempts to
select a color palette for you. However, if you prefer another color,
you may override it in one of two ways.
First, you may simply press <Space> at the HotNotes! Launch Menu and the
Color Configuration Menu appears. Next, press <Space> repeatedly to
cycle through the colors until the desired color is found. Afterward,
press <Enter> to save your results, which will become your new default
color every time your start HotNotes!. Some video interfaces emulate
different styles of video, which can trick HotNotes!. This is usually
the case if your color comes up blinking or partially visible, especially
with older style display or laptops. Using this process, you can
visually determine which are the best combinations for your system then
save them permanently.

Starting Alternate FR Databases
-------------------------------
If you have PAF 2.2 maintenance Release 19 June 1990 or later, you can
begin your FR session with up to two alternate databases selected. Then,
when you are in the Pedigree Search menu, you may toggle between the two
databases with the F3 key. HotNotes! Version 2 supports this same syntax
on startup, so you may use the same convention. To start FR with two
databases, say, "SMITH" and the second as "JONES," type:
hn SMITH -dJONES
Here the sequence is important, as well as the notation, "-d" preceding
the second database. When HotNotes! launches FR, it passes these two
names to Family Records (FR) as parameters, just as if you had typed them
at the DOS command line.
You may optionally just start with a single secondary database:
hn -dJONES
which will load your normal database, then allow JONES to be toggled in
at Pedigree Search with the F3 key. See your PAF 2.2 READ.ME file on
disk and HotNotes! on-line Help menu for more information.
Other command line options are available during start-up of HotNotes!

Type HN /? to see the summary usage screen. This DEMO version restricts
use of the /S command line switches.
HotNotes! DEMO Startup Sequence
--------------------------------
After typing HN to start HotNotes!, the main launch menu appears (see
below.) This launcher serves as a convenient way to begin FR with HN
enabled. This menu provides a direct replacement to the PAF.EXE menu
system shipped with PAF. You cannot use the PAF.EXE program with
HotNotes!. However, the Main Launch Menu of HotNotes! shown below will
start every PAF program which PAF.EXE starts.
You will most often use Menu Item 5. It launches FR with HotNotes!
attached to FR's command set. This is the only way you can use the extra
features of HotNotes!. Simply move to or select item 5, "Run HotNotes!
with Family Records" and press Enter. A "Running HotNotes with Family
Records" message appears at the bottom of the menu and HotNotes! begins.

Even though the HotNotes! launch menu allows you to optionally start FR
without HotNotes! activated, there is little advantage in doing so, since
both are still resident in memory. If you must run FR with a full
complement of memory, exit HotNotes! completely and start FR at the DOS
command line by typing FR.

After the Launch Menu Starts HotNotes!
--------------------------------------
Once you've started FR from HotNotes! Launch Menu, the first thing you
see upon entering FR is the HotNotes! title window, which pops up over
the Family Records welcome screen. This tells you HotNotes! is actively
"joined" with FR. Press <Esc> or <Enter> and the HotNotes! Window
clears. From thereafter, HotNotes! monitors the FR screen and the keys
you press, looking for HotNotes! hotkey commands.

Using HELP
------------
HotNotes! Version 2 has been designed with an extensive On-line help
system, which is always just a keystroke away <Alt-N>. Many of these
help screens are included in this document for your reference. You
should make use of HELP to get acquainted with HotNotes! many features
and instructions.
The HotNotes! Main Help menu is available from any FR screen and lists
the available commands. Use the Help Menu at anytime while in notes
editing with the command:
<Alt-N> (hold the "Alt" key down and press "n").

This command is only valid when the HotNotes! banner is displayed in the
lower right corner of your screen. This banner tells you when HotNotes!
is monitoring keystrokes, and it reminds you to press <Alt-N> for help.

From this Help menu, you are introduced to the rich set of additional
commands now available with HotNotes!. Most of these commands are
designed to complement the FR program's Notes area. This Help Main menu
is the principle way HELP is displayed within HotNotes!. To learn more
about a particular feature, you move the highlight bar up or down, and
then press <Enter>. Often other menus are subsequently displayed with
more details.
HotNotes! Version 2 Help system is file-based. All help files are stored
in the HN.HLP file in the PAF directory. This file MUST NOT be removed
from that directory, otherwise HotNotes! will be suspended and need to be
reinstalled.

Using TAGs
------------
To use the TAG menu, you must be in the FR Notes editor. The Tag Menu's
sole purpose is to make it easy to insert often used standard labels,
called "tags." We have helped author and include the identical tags
standardized in the Silicon Valley PAF Users Group, PAF Documentation
Guidelines. In addition to using these standard tags, you may optionally
add up to 15 of your own tags at the bottom of the Tag Menu.
You should carefully study this document to learn more in detail how to
use tags in your notes. Follow the instructions above to print the
DOCGUIDE.DOC file included with HotNotes!.
The TAG menu is a useful feature which allows you to select from among
the more than 60 standard TAGs from the Documentation Standards. You may
subsequently insert them directly into any individual note entry or into
the HotNotes! wordwrap editors. As a popular request, starting with
HotNotes! Release 1.1, the Tag Menu includes several special TAGs for LDS
Events. The Table below lists all the standard tags from the Silicon
Valley PAF Users Group PAF Documentation Guidelines.

Inserting A Tag Into the FR Notes Screen
----------------------------------------
Inserting a TAG is one of HotNotes! most simple tasks. Tags are inserted
directly into FR Notes. First go to the Notes editor screen for one of
your ancestors. Move the cursor into the desired position where the TAG
will be inserted (usually at the beginning of a line) and then press:
<Alt-T>
This command invokes the TAG Menu, which pops up with a list of TAGs to
pick from as shown below. A highlight bar is visible during operation,
which allows you to select the appropriate TAG for insertion.

To select a TAG, move the highlight bar with the cursor or page keys and
then press <ENTER> or <TAB>. The selected TAG is inserted directly into
your note at the cursor position you had selected prior to pressing <Alt-
T>.
With the Tag menu displayed, a second faster way to select TAGs is to a
press the first letter "speed key" of a TAG name. The highlight bar
jumps directly to all the TAG's beginning with the same letter, cycling
around the menu with repeated presses. This feature saves you time and
cursor presses. Don't be afraid to press other keys. HotNotes! filters
out wrong keys so you won't make a mistake.

Compound Tags
-------------
A compound tag is several relevant tags hooked together with dashes. For
example, if your source contains information on births, marriages and
deaths, you can create the compound source
!BIRTH-MARRIAGE-DEATH:
in one of the HotNotes! wordwrap editors, or directly on the FR Notes
editor screen. To make compound tags press <Tab> instead of <Enter>. A
trailing dash is pasted to the screen from the tag menu instead of a
trailing colon. When used in the HotNotes! Wordwrap or Source Editor,
the <Tab> pastes the tag, then re-invokes the Tab Menu again so you may
select your next tag. After selecting your final tag in the series,
ending the entire sequence with an <Enter> places a colon after the last
tag.
Automatic TAG exclamation point
-------------------------------
HotNotes! TAGs pasted at the beginning of the a line are automatically
pasted with an exclamation point prefix. You simply press either the
<Tab> or <Enter> key as normal. Exclamation points are used to signal
that a particular paragraph in Notes is to be printed on the Family Group
sheet or included in Ancestral File Submissions. Early testers of
HotNotes! felt that the default should be to have the exclamation point
inserted. If not desired, delete it after insertion.
User Defined TAGS
-----------------
The HotNotes! TAG Menu provides you the ability to define up to fifteen
of your own custom or compound TAGs. To do this, while in the TAG menu,
go to the bottom of the list by pressing <End> or <Page Down>, cursor
down all the way, or press <Alt-A> add. Your keyboard displays the last
fifteen TAGs under the title:

which brings up the TAG Edit Window. The figure below shows a compound
tag being entered in the TAG Editor.

In the TAG Editor you may use all the cursor and editing keys to modify
the contents of any of the last fifteen TAG entries. Standard tags in
the menu may not be changed.
The user-defined TAG edit feature provides two benefits: One benefit is
so you can have the flexibility of updating your TAGs as our standards
change. Another is the ability to create and save compound TAGs. For
example, if you found that you were repeatedly using BIRTH-CHRISTENING:
you could enter this combination as a user-defined TAG.

Using Source
------------------------
Sources as defined and used within HotNotes! become the fundamental unit
for documenting your researched and verified genealogy. Through properly
entered sources, your family's history is more easily preserved. Sources
as saved within the FR Notes area can be passed on to others via the
Ancestral File Submission. Your properly documented research work stands
as a more credible reference plus benefits future researchers.
Starting with HotNotes! Version 2, full Source citation capabilities are
built in. The Source Selection Menu of HotNotes! provides access to many
powerful time-saving features. You can save and reuse sources consistent
with Documentation Guidelines. You can grab source citations directly
from your FR Notes and save them into your source database. You can
enter new sources while under the promptings of HotGuides!, which teach
you the proper format and style to use to adhere to the Documentation
Guidelines.
The Source Selection Menu is accessed by typing:

whereupon the Source Selection Menu appears, as shown in below. The top
half of this menu contains a list of commands and options from the Source
Menu. The bottom portion of this menu is used to display source titles,
in pages of ten at a time. The first 60 characters or "Title" of each
source is displayed. You may scroll this list up and down as desired
using the cursor and paging keys.

The Source Selection Menu is the portal through which you can reuse all
the source citation you already have entered, or probably will ever enter
into FR. It provides the ability to select and reuse sources from as
many source database libraries as you can store on your hard disk.
Within each source database, each source is assigned to a unique source
identification number, "SIN." This is very similar to the RIN used in
Family Records. Although this DEMO is limited to only 10 sources, the
full Commercial Version of HotNotes! allows each source database (.SRC)
to contain up to 999 sources. In addition, you may load and reuse as
many source databases as your disk space will allow.
The Source Selection Menu permits you to browse and view the title of
each source. Sources are presented in this fashion to allow you to
easily browse through and find the source you are seeking. HotNotes!
makes it easy to select a source from the menu one of several ways:
o By browsing the menu using cursor and paging keys,
o By directly entering its SIN (by typing numbers), or
o By searching for a title with the <Alt-F> find
and <Alt-R> or <F8> repeat search commands.
From the Source menu you may also load other source databases, add new
sources, and delete sources.
Once you have selected the desired source, you can immediately paste it
into the Notes screen by the <Ctrl-Enter> quick paste command, or simply

press <Enter> to first View the full source.
The Source Viewer
-----------------
The Source Viewer allows you to see the entire source just prior to
pasting it. That way, you can make certain this is the correct source,
since several may have similar titles. The Viewer also permits you to
make last-minute changes to the source through the use of the word
wrapping Source Editor, prior to pasting to Notes.
The Viewer's display is divided into three areas. The top area contains
a list of frequently used commands. The middle area contains the full
source. The bottom area contains an on-line, advisor, HotGuides!.
HotGuides! teach you how to enter sources in accordance with the Silicon

Actively Changing HotGuides!
----------------------------
A very convenient tool while in View mode is to use the Page-Up and Page-
Down commands in combination with HotGuides! to browse through your
source data base. You quickly spot which sources do not conform to the
Documentation Guidelines, especially when a field is missing or in the
wrong order. Once so discovered, invoking the Source Editor <Alt-E>
quickly remedies the problem.
As you position the field highlighter, the HotGuides! on the bottom of
the Source Viewer (or in Source Editor, too) change to advise you of the
proper type and sequence of fields. The on-line guide actively teaches
you what to enter in each field. Seven different Guides appear, one for
each of the seven fields defined in Appendix G of the PAF 2.2 Manual, as
well as the Documentation Guidelines. These seven Guides are shown in
Figures A through H below:

Guides! Off - Full Speed Ahead!

On some original PCs, the HotGuides! may slow down the viewing process
slightly. However, since HotNotes! Version 2.1 wherein the Guides were
optimized for higher speed, this is usually not a problem. The primary
purpose is to allow you to turn off the fields from flashing, especially
if you feel it obstructs or detracts from your view. The Guides will
subsequently remain off until enabled again. The Guides-off message
displayed will look like that as follows:

Using the HotNotes! Source Editor
---------------------------------
From the Source Viewer, you have direct access to the powerful
wordwrapping Source Editor. The Source Editor uses the same window as
the Source Viewer, except with different instructions above it.
HotGuides! remain active if desired, during edits. This Source Editor is
in fact the identically same editor as the Wordwrap Editor (Alt-W), which
is normally available from the Notes screen (more later on that.) During
source editing, the wordwrap editor has the added feature of actively
displaying and updating HotGuides!.
A very powerful and convenient feature allows you to invoke the Tag Menu
to insert Tags from within the Source Editor. Likewise, you may invoke
the Source Selection Menu and insert other sources, which can be copied
into and modified to create a new source.
Finally, pressing <F8> allows you to insert SAMPLE sources from the
SOURCE.SRC file, shipped with HotNotes! Version 2. The figure below
illustrates the Source Selection Menu shown when pressing <F8>. It
allows selection from the sample sources as illustrated in the
Documentation Guidelines. These may be used as a template to help you

get started. Simply press Enter to paste one into the Source Editor,
then alter it to suit your specific needs.

The Source Editor has many powerful editing features. For example, while
editing with HotGuides! enabled, you may lock the highlighting over a
particular field, thereby retaining the field as highlighted while you
move the cursor. This is useful if you need to reposition one field to
another field position. Simply press <Alt-R> to "retain" the position,
then move the cursor to the new location, and finally Press <Alt-M> to
move it there.
You may also delete, copy, wrap and indent (tab) your source paragraphs.
Just remember to not leave any blank lines between your text, since that
constitutes a new source according to the FR standards. After completion
of your edits, Press F1 to save your results permanently in the current
source database, or use the paste commands to save and paste immediately.
Paste Sources into Notes
------------------------
Once you have selected and optionally edited your source, you can insert
it into FR Notes with combinations of the F5 and Alt or Ctrl keys. Each
source is inserted into Notes with a blank line afterwards. (Remember
that each source must be one separate paragraph, without any blank
lines.) Once you have pasted, saved a new one, or simply viewed a

source, it stays in the HotNotes! clipboard for future pasting over and
over again, until overwritten by another HotNotes! eXtract, grab, or menu
action. The HotNotes! clipboard is a temporary 2048 byte memory buffer
accessed by using paste commands to insert text into FR notes.
If you desire to retain one particular source for subsequent pasting over
a longer time period, you should create a macro to record this source.
Simply press <Alt-K>, then <Alt-S>, pick the source, then <Ctrl-Enter>,
then <Alt-K> again.
GRAB'ing Sources from NOTES
----------------------------
The HotNotes! Grab function allows you to copy your favorite sources from
the native FR Notes screen and place them directly into the Source Menu
with its active source database. This versatile, convenient feature
allows you to reuse many of the Sources you may have already typed into
your Notes. Since this becomes part of the Source database stored on
your hard disk, all your source citation work is permanently archived for
subsequent recall anytime thereafter.
The full potential of this feature probably won't be a realized until
after you earnestly begin documenting your individual entries within the
confines of FR 2.2, which only allows source citations within the Notes
area. Since the Notes editor does not have a clipboard, you may only
copy or "ditto" entire sources from the previously accessed individual.
The HotNotes! Source Menu frees you from that confine, by allowing you to
save your notes in a separate database.
The HotNotes! Grab function lets you gradually ease into true source
citation entry, by first allowing you to take the text you've already
entered, then later modify it to be more Guidelines correct. You need
not reenter any of the text you've already entered into Notes. You now
have a place to save it permanently, to be recalled and reused over and
over again.
To Grab text from the screen as a Source, Press <Alt-G>. The following
small menu appears at the bottom of the FR Notes screen:

This menu prompts you to select text on the screen. A highlighted bar
appears in the Notes screen over the paragraph closest your cursor. You
may move this bar up and down or adjust its size with the commands in the
table above. The resulting highlighted area on the screen becomes the
source you are grabbing. You may grab the screen text in one of two

modes: as TEXT and as a WORDWRAPPED paragraph.
TEXT Mode: Press <Enter> at this point to Grab it as TEXT. When you
grab as TEXT, you usually intend to retain its formatting exactly as it
appears on the screen: i.e., with tabs, indents or short lines. This is
the native FR Note text mode. It's good for preserving special format or
appearance of your text, but not very good if re-editing, because
HotNotes! must place "newlines" at the end of every line. These become a
nuisance when editing with word wrapping, because you must remove the
newline marks (shown as paragraph marks when in the HotNotes! editors.)
However, at least editing with HotNotes! Wordwrap and Source editors
makes this task more bearable, since you can manually reformat or wrap
your text as desired, by inserting and deleting paragraph marks
respectively.
WRAP Mode: If you alternately press the <F6> command during the Grab
menu, you literally word-wrap the captured screen text. This feature
permits you to first reformat the text as one single paragraph before
saving it in the Source database. A single paragraph is consistent with
the Source definition standards. WRAP Mode Grab is used to construct or
reconstruct a new source paragraph out of remnants of one which the FR
Notes editor has inadvertently unwrapped. During wrapping, all spaces
except one will be left between words and newlines (carriage returns) are
stripped. You may subsequently edit the reformatted Source from the
Viewer via the Source Editor, then thereafter permanently save it in the
Source database.
In either case of TEXT or WRAP acquired via the Grab menu, your screen
text is captured directly into the pop-up Grab & Add Source Menu (See the
figure below.) From this menu you are asked to choose a SIN to place the
Grabbed text into. You are given two choices: either overwrite an
existing SIN or add a new one.

If you choose to overwrite an existing SIN, your have several means of
locating it, similar to the Source Menu. You may move the cursor, enter
SIN number directly, or find the source to replace by its title. After
locating the source, simply press <Enter>. You are ushered into the
Source Viewer where you may first edit, then save the grabbed source.
When you leave the Viewer, the newly Grabbed source is installed into the
Source Menu and saved in the active source database.
If you instead choose to add a new source <Alt-A> from the Grab & Add
Source Menu, you are ushered immediately into the Source Editor.
Thereafter, you may save it and the source is installed into the Source
Menu, but under the first blank SIN after your starting position on the
Source Menu. You may only add 999 SINs in a single source database.

Using the WordWrap Editor
--------------------------
One the most inviting features of HotNotes! Version 2 is the addition of
a Wordwrap Editor with true cut and paste ability. This acts much like a
miniature word processor, right from within the FR Notes screen. We
believe that after you become familiar with it, you will likely
substitute this editor for most of your future FR Notes editing and new
entries.
The HotNotes! Wordwrap Editor includes a modest size NOTEPAD capable of
holding a page of text. Entering text is now much easier because of full
HotNotes! 2.2 Demo Operating Manual Page 22

wordwrapping. In addition, the editor permits more precise letter-by-
letter Copy, Move or Delete actions.
The Wordwrap Editor saves its results in the CLIPBOARD, which can be used
to save a screen full of text for subsequent insertion into FR Notes.
Since the clipboard is also used by the Source Menu, the most recent
source accessed will be available in the clipboard for editing or
Pasting.
A power feature of the Wordwrap Editor is to cut, wrap and repaste a
paragraph from the Notes editor. One weakness of the Notes editor is its
inability to wordwrap a paragraph while reediting. Through the Wordwrap
Editor, you can effectively bridge around this limitation. The HotNotes!
F6-F6-F5 command sequence to cut and paste provide an easy access to this
feature from the FR Notes editor.
You may also invoke and insert from both the Tag and Source menus within
the Wordwrap Editor. This provides the convenience of full wordwrapping
editing prior to insertion into Notes. From Notes, you may subsequently
GRAB this new text and place it into your SOURCE data base.
Since it is meant to complement or even at times replace the FR Notes
Editor, the full Wordwrap Editor can only be accessed from the FR Notes
screen. It can be invoked in any of several different ways, depending on
the intended use. To simply use it without first capturing information
from the screen, just type
<Alt-W>
when in Notes area.
The figure below shows the Wordwrap Editor with the current contents of
the clipboard ready to edit. In normal mode, there are ten lines visible
in a scrolling edit window. The clipboard buffer allows editing up to 2K
of text, or from one to two pages, depending upon how much empty space is
in your entry. The bottom portion of the Wordwrap Editor lists more
frequently used commands.

Extracting Screen Text into the Wordwrap Editor

The HotNotes! eXtract command adds the powerful capability to copy, edit
and replace selected text from the FR Notes Screen. You may eXtract a
passage of text from the screen, freely edit it using wordwrap, then
paste it back into Notes, directly replacing the old text.
To first capture text from the screen for editing, use the eXtract
command. Press <Alt-X> or <F6>. This small menu appears at the bottom
of the FR Notes screen:

When you press the <F6> command, you literally wordwrap the captured
text. Alternately if you desire to retain its formatting as plain TEXT,
simply press Enter. In either case, your text is captured directly into
the pop-up Wordwrap Editor. From within this editor many more powerful
commands are available, since it acts much like a miniature word
processor built right into FR.
Identical to the Source Grab function, the eXtract function permits two
types of copies from the FR Note screen: TEXT (FR native) and
WORDWRAPPED. FR's Note Editor only supports wordwrapping during initial
text entry. Thereafter FR operates as a simple line editor without
wordwrap. For example, you cannot press <Backspace> in the left column
and get FR to wrap your sentence back to the end of the previous line.
HotNotes! bypasses these constraints by actually reformatting the screen
text after it has been captured.
TEXT Mode is used if you want to preserve the paragraph formatting as it
appeared on the FR screen: i.e., with tabs, indents or short lines. Use
the command sequence, <F6>, then <Enter> after you've selected your
paragraph. TEXT mode is the native FR Note text mode, and good if you
need to preserve FR notes formats, but more awkward during re-editing.
After the text is captured into the Wordwrap Editor, paragraph marks
become visible
WRAP Mode is used to first reformat the Source with wordwrapping. All
spaces except one will be left between words. Newlines are also removed.
Use the command sequence, <F6> and then <F6> again after you've selected
the screen text to wrap. HotNotes! may wrap slightly differently than FR
does while wrapping certain lines which are 79 characters long.
Extract the Entire FR Screen
----------------------------
The full screen capture feature added as a late feature of HotNotes! 2.2
gives you much greater freedom and permits you to use the Wordwrap Editor
for most FR Notes editing task.
To edit the entire page shown on the screen in notes, press:
<Ctrl-X>.
The visible notes screen is immediately captured in TEXT mode and you are
ushered into the zoomed, full page Wordwrap Editor. When a full page is
captured, the screen is extracted in TEXT mode to retain the FR Notes
line formatting. (If for some unusual reason you need to, you may
alternately wordwrap an entire screen by pressing <Alt-X> and marking the
whole screen first, but you will lose all formatting.)
Once in the Wordwrap editor and having finished making your changes,
simply press <Ctrl-Enter> or <F5> to paste and replace the original notes

screen with your newly changed text. This action may take more time on
slower PCs, since HotNotes! must work directly through the keyboard to
reinsert the text, just as if you had retyped it.

Using File IMPORT
-------------------
HotNotes! allows you to import TEXT from an EXTERNAL FILE. You may
collect your various external documentation files or text and insert them
into your Notes via the HotNotes! File Import command. This may be
desirable if you have long passages of documentation which must be
repeatedly entered. You may also use it to import text which you had
previously entered into your word processor, or which you may have saved
separately using the FR External Notes option.
For example, suppose you want to reuse the entire note on an individual
without repeatedly switching back to prepare for using 'ditto' (F8) to
copy the 'previous' note. Since you have already extensively documented
that individual, you could print his/her notes to a file from FR, then
use a word processor to clean up the output as TEXT. Finally insert the
note back into every individual for whom it applies and delete the text
which may not apply.
In another example, if you have typewritten notes, you may scan and use
OCR software to computerize the paper notes, then import them as text
into your FR text. This way you may import relevant older biographical,
historical or documentation materials as desired.
Finally, if you have been using the FR external notes option, you must
disable this feature to use HotNotes!. Instead, import those RIN files
and place them into their respective individual's notes with this File
Import command.
Keep in mind the FR Notes area can only hold about 35 screen fulls of
notes per individual. To avoid filling up your notes, reference very
lengthy documents in your notes with the FILE: tag and list the file or
computer file name.
To use File Import, first position your cursor on a blank line in Notes
and then press
<Alt-F> ('F' for 'File Import'.)
The figure below shows the File Import menu which appears. You are be
prompted for the file name to import. Enter you desired path and
filename, then press <Enter>. The import halts when the file ends, or
when the Note buffer is full. (Remember that FR will only accommodate
about 35 screens full of text in the Note buffer.)

Using Macros
--------------
The original purpose of writing HotNotes! was to simplify entering tags
and source information into PAF. However, during the development of
HotNotes!, it became clear that an easy extension to the program would be
a macro key facility. Even as HotNotes! evolved in its most primitive
form, the macro key facility became an indispensable tool to help us more
quickly automate testing new prototype features as they were added.
CAUTION, Macros can be Addictive!
----------------------------------
For you, HotNotes! macros can also become a valuable tool for automating
your PAF data entry. They literally allow you to zoom from menu to menu,
inserting text at will, or reconsidering FR with one keystroke, and even
saving often repeated HotNotes! activities like stuffing a tag or source.
A whole new world literally opens before you when using macros.
But be careful, using macros can be addictive! After becoming hooked on
FR with macros, starting the PAF FR program without macros makes FR
appear a bit lifeless. You may never want to go back. We won't! But
now before we go too far, let's define "macro."
What is a "macro key?"
---------------------
Simply stated, when using a macro key, the user enters one keystroke and
the HotNotes! program sends an entire series of keystrokes to PAF. This
saves lots of extra typing when entering highly repetitive data or when
repeatedly moving around between the same menus. For example, you may
have a number of families in which most of the members were born,
married, and died in "Whirring, Kragelund, Volstrup, Denmark." Rather

than typing this long place name every time it appears, you could save it
as a single macro key. Then, each time it is needed, you recall these
names data using that macro key. With just one keystroke the data is
inserted into the place name, plus it is always spelled correctly every
time!
Permanent Macros
----------------
In addition to the macros you can define, HotNotes! comes with several
permanently built-in macro key functions. When designing HotNotes!, we
found ourselves defining and using these permanent macros as steady
staple. Since these functions were so useful, it made sense to
permanently include them, leaving your 10 User-defined macros for your
own purposes. Permanent means they are always included with HotNotes!
and available without first defining them. (More about defining macros
later.)
To use these permanently built-in macro functions, simply enter the
appropriate key. The macro definitions are always at your finger tips
through the HotNotes! help menus, Alt-N. The figure below shows the
Permanent macros included within this Version of HotNotes!:

Some of these macros are improvements to the notes editor. For example,
Ctrl-Enter pushes the line down at the cursor, EVEN THE TOP LINE. How
often have you wanted to insert something at the top line! With just one
keystroke, the HotNotes! Ctrl-Enter macro emulates the following 6-key
sequence, freeing you forever from having to type it in each time:

Six for one, not bad for starters, eh? But with HotNotes! macros, you
can literally save hundreds of keystrokes or typed characters in a single
macro key you define, limited only by the memory in HotNotes! data area.
Two macros insert today's date into your Notes screen for you with the
"UPDATE:" tag. For example if today were February 23, 1993, pressing
<Alt-U> would insert "UPDATE: 1993-02-23" at the FR cursor. If you
instead would like this date tag at the beginning of your note for
compatibility with PAFSPLIT, press <Ctrl-U>, and the UPDATE tag and date
are inserted at the beginning of your note. You may optionally create a
user defined macro (see the section later on) using this permanent macro,
which appends a text note after the date. For example, define a macro,

pressing Ctrl-U, type your message, then save your macro. Here's one
possibility:

Other permanent macros offer similar editor improvements. For example
the HotNotes! Ctrl-left and Ctrl-right arrows while in the FR Notes
screen now move the cursor to the previous or next word, respectively,
and then even continues to the previous or next line, wrapping through
all lines to the home or end position, emulating a common word processor
feature.
Another class of built-in macro keys allow more convenient and automated
movement to and from the notes screen. Two primary places "note keepers"
spend much of their time is between the Pedigree Search Menu (to locate
their ancestor before adding notes), and the Notes Editor (to enter
them.) The F4 or Alt-F4 macro keys allows you to move from Pedigree
Search to notes in one keystroke. Alt-F1/F2 macro keys return you to
Pedigree Search after saving or not saving the changes respectively. A
related permanent macro in this class, Ctrl-F1/F2 returns you to the
Main Menu after your are all through with note entering or viewing, again
respectively saving or not saving your changes.
Why are these key sequences so useful? Because they allow you to browse
and enter notes at will. For example, let's say you need to enter the
sample note documenting the beneficiaries of a will for several of your
ancestors in the same family. Let's develop several solutions to this
situation in the process of explaining several more advanced HotNotes!
macro features.
As our first case, let's say we want to first VIEW each note, to verify
the note is not already present. Starting from Pedigree Search, you move
to the person you desire and Press the F4 macro, (which takes you
directly to that persons Notes editor.) After you have examined the note
you notice the source citation is NOT present. You invoke the HotNotes!
source menu with Alt-S, press the cursor keys or enter SIN numbers until
you find the source, briefly edit the source, then press Enter to stuff
the source into Notes. Now the Alt-F1 macro is used to save and return
to Pedigree Search. This process could be repeated over and over for
each family member, using the F4 and Alt-F1 key macro to save a few extra
keystrokes. But wouldn't it be nicer to take this one step further and
automate the whole sequence. In fact you can do this with HotNotes! User
Defined macros.
User Defined Macros
-------------------
HotNotes! includes ten available macro keys that you can record for your
own purposes. To record a macro, simply enter Alt-K to begin recording.
From this point on, each keystroke you enter will be recorded. The

HotNotes! status display (lower right) will indicate "Recording a Macro"
to let you know you are recording. When you are finished recording, hit
Alt-K a final time, and the Macro Viewer Menu pops up. Select the Alt 0-
9 number key to assign this macro to, and press <Enter>. For example
lets say we pick Alt-2. You next type a description of what your macro
does, then press Enter to save it. After clearing the View Menu, your
new macro is ready for use. The figure below summarizes the process:

Thereafter, the next time you enter Alt-2, HotNotes! will "play back" the
keystrokes you recorded. You can literally record any data or
keystrokes, except the record macro key Alt-K itself. For example,
names, place data, source information, tag information, notes, comments,
menu sequences like going to the configuration menu and changing the
database and returning to Pedigree Search, or anything that you can
normally key into PAF. The macro keys you can use for recording and
playback are Alt-0 through Alt-9 keys.
If you run out of keys, or you no longer need a particular macro key, you
can change your macro data by going into record mode and resaving under
the same macro key again. The old macro data will be overwritten with
the new macro. In the commercial version of HotNotes!, any Users-Defined
macro keys you record are permanently written out to disk, up to ten at a
time, so that they will be available in subsequent data entry sessions.

The clever advanced PAF user may now envision that suites of frequently
used macros could be saved, next copied to anther filename for
preservation, then later restored under the HN.MAC filename prior to
starting HotNotes! using a DOS batch file. If this becomes commonly
used, we will likely make it a standard feature in a future version of
HotNotes!
Now let's return to our "beneficiaries of a will" entry example above.
You can define a User-Defined macro to record the entire process of the
source insertion sequence the first time, then faithfully repeat it with
each subsequent Alt 0 to 9 key press of your choice. Starting from the
Pedigree Search menu, you would simple bracket this entire keyboard
sequence mentioned above within two addition HotNotes! commands: Alt-K
just prior to pressing F4, and Alt-2 just after pressing Alt-F1.
HotNotes! dutifully records all key sequences and saves them under the
Alt-2 key, in this case. Thereafter, the process is simply a matter of
selecting the correct ancestor and pressing Alt-2 for each. Now you
needn't use FR's F8 copy prior note key. It's fun watching your computer
do all the work for you!

Power Macros
------------
Seeing how useful this is, this brings us to another powerful feature of
HotNotes! Version 2. The entire sequence of stuffing the most recent
used source or text grabbed from the Notes screen can now be automated
with two HotNotes! permanent keys: F5 from the Pedigree Search menu and
F6 from the Notes Menu. From the Pedigree Search menu, in one key press,
F5 stuffs and saves the contents of the current HotNotes! clipboard into
the Note for this person, then returns to Pedigree Search.
The HotNotes! Clipboard contains either the most recent source stuffed or
screen grabbed. A second power key, F6 is now available from within the
Notes editor. It activates a screen grab directly into the HotNotes!
Word Wrapping Notepad Editor. From here, you subsequently can save your
edits to the HotNotes! clipboard for use with F5 from Pedigree search.
If this all seems a little confusing, the best thing to do is to try
these things first hand.
Macro Motoring Mania
--------------------
One final interesting use of the User-Defined macro keys is to allow more
easy movement through the menus. In this use of macros, you can really
use your imagination. For example, you may want to easily go from the
pedigree search screen to the utility screen, do a temp configuration to
switch to a particular database, and return to pedigree search.
It is simply a matter of turning on the record mode at the pedigree
search screen, keying your way to the utilities menu, changing the
database name, returning to pedigree search, and then saving under an
Alt-number key. From then on, to change to the database from the
pedigree search screen, just enter the Alt-number key. Imagine recording
several commonly used data base selecting macros. You could then
automatically switch from among several databases via one simple
keystroke: Alt-5, Alt-6 or Alt-7.
To avoid total confusion and as an assurance against unpredictable or
undesirable results, HotNotes! remembers the screen from which you begin
your macro. Subsequent calls to the macro key will only work if you are
in that menu. Consequently, in this example you must always start out at
the pedigree search screen in order for the macro to work. For example,
if you are in the large pedigree screen, you must first exit to pedigree,
then use your macro key. Obviously, if you spend most of your time in
the large pedigree screen, you may want to define the macro key to switch
databases starting at the large pedigree screen instead of Pedigree
Search. This is done by simply turning on record mode at the large
screen, and returning to the large screen before saving to the Alt-number
key.

Remember that the HotNotes! macro feature is completely flexible and able
to be changed at any whim. With a little practice, your macro keys can
save countless keystrokes in entering and maintaining data under PAF.
They are but one part of the HotNotes! effort to help everyone maintain
accurate and well-documented genealogical records.

Tips and Tricks
-----------------
Tip 1: Motorize Your FR Menus
-----------------------------
The Macro features of HotNotes! give you much more freedom than you are
used to in FR. The built-in permanent macros in HotNotes! allow you to
quickly move between FR menus and screens. For example, at the Pedigree
Search menu you can press the HotNotes! macro key <F4> and immediately go
to the Notes on that individual.
But did you know you could also design your own hot keys to zoom around
FR? HotNotes! user-defined macros make it a snap. Simply begin
recording at the starting screen, then end recording a the final screen.
For example, one of our favorites is to change FR databases, if you have
multiple database. Let's say you have two databases, named SMITH and
JONES. We want to have this macro start and end in the Pedigree Search
menu, so it will work just like the F3 key does, except that now we can
switch up to 10 different databases. Here is the sequence to follow to
define each database change sequence. First we will want save the
present database setting, so we may return to it after making changes.
1. Start in the Pedigree Search menu and press <Alt-K> to start
recording a macro.
2. Press <X> to exit Pedigree Search to Main Menu
3. Press <A> to go to the Utilities Menu
4. Press <4> to go to Temporary Configuration
The cursor presently is already at the Database line. Leave it there,
but for the first definition, write down the name of this default
database, i.e., C:\PAF\SMITH.
5. Press <F10> to erase the database line.

6. Next, enter the name of the new database. (In the first case,
we reenter the default database just erased, i.e.,
C:\PAF\SMITH; for subsequent definitions, enter the new
database desired, i.e., C:\PAF\JONES.)
7. Press <Enter> at the end of this new name.
8. Now save and exit, Press <F1> twice.
9. Press <zero> to return to Main Menu.
10. Press <4> to return to Pedigree Search.
11. Press <Alt-K> to end the Macro.
12. Select a Macro key (say Alt-1 for the first one) and press
Enter.
13. Enter the name of your database as the Macro name and press
Enter.
14. Press Esc to save your macro
15. Now repeat the process for your second database, JONES.
To add additional databases, repeat Steps 1-14. After you have defined
your databases, you may change databases from the Pedigree Search menu by
pressing the appropriate macro key.
**NOTE**: these and all HotNotes! macros which automatically change FR
menus will only work if you set the "Require a carriage return on menus?
(Y/N):" to "N" (no) in your configuration.
Tip 2: Auto-insert your favorite Sources!
-----------------------------------------
Find yourself using the same two or three sources all the time? Why not
make them into macros? Simply start within Notes and define a macro
which invokes, selects and inserts these sources for you:
1. Press <Alt-K> to begin recording a macro starting from the
Notes screen.
2. Press <Alt-S> to invoke the HotNotes! Source Menu.
3. Select the desired source the normal way.
4. Press <Ctrl-Enter> to paste the source into Notes
5. Press <Alt-K> to stop macro recording

6. Pick an Alt-number key, name you macro, then Press <Enter>.
7. Press <Esc> to save your macro to disk
You are done! You may repeat the process above for your other frequent
sources, but this time assigning them to unique macro numbers. When
finished, lets say you have Alt-1, 2 and 3 recorded as your favorite
sources. Then when using one, instead of pressing Alt-S, etc. normally,
you simply press one, say Alt-2, and your source is inserted immediately.
This saves a few keystrokes. You can record over and reuse the Alt-
number macro keys over and over again as you choose new favorite sources.
Tip 3: Wrap those naughty paragraphs!
-------------------------------------
You've probably done it...we all have: tried to go back and insert text
into your FR note, only to have your paragraph's format unravel before
your eyes. Don't retype those words back onto the end of the previous
lines-- fix it with HotNotes! In three easy keystrokes you can rewrap
the paragraph. To start, presumably you are already there, but if not,
move the cursor anywhere on the offending paragraph, then:
1. Press <F6> to select the paragraph to capture (if necessary,
adjust the highlight bar to cover the entire paragraph)
2. Press <F6> again to capture it with wrap into the Wordwrap
Editor
3. Press <F5> immediately to paste it back into Notes, replacing
the old naughty paragraph.
Tip 4: Focus--the Quick-Change Show!
------------------------------------
Ever need to update the whole family or group of families with the same
source? Use FR's Focus and HotNotes! to make it easy.
1. First go to Focus (Main Menu Item 7) and add the individuals
you'd like to concentrate on using Items 3 through A from
among the normal focus menu commands.
2. Then select Item 1 to look at the first individual in the
Focus Individual Data menu.
3. Press N to go to the Notes for that person
4. Use HotNotes! to pick and insert the first source, placing it
in the Clipboard.

5. Press <F2> to return to the Focus Individual Data menu.
Now you are ready to insert the Clipboard into all your focus
individuals.
6. Use the cursors to select any person in your focus list
7. Simply press <F5>. HotNotes! automatically inserts that
source, saves the note and returns to the Focus Individual
Data menu.
8. Repeat steps 6 and 7 again, and so on until all have been
updated.
Tip 5: Pedigree Pick and Paste!
-------------------------------
Need to update a variety of individuals with the same source? Similar to
Quick Change Focus above, HotNotes! allows you to also make one-keystroke
mass changes from the Pedigree Search menu. Start in the Notes area of
the first individual:
1. Enter or select the common information or source citations
into the Notes Screen. (If you alternately have entered them
directly into the HotNotes! Wordwrap editor, you may skip
directly to Step 6 below.)
2. Press <Alt-X> to extract a copy of the text.
3. Move the cursor keys to highlight the desired text
4. Press <Enter> to copy the text into the clipboard
5. Press <F5> to save and paste the info back into Notes.
You may test the results by pressing <F5> to see if the Clipboard has the
correct information. (You may use the Notes <Ctrl-Y> command to erase
the extra text just inserted from this screen, or just exit to Pedigree
Search without saving Notes by using the HotNotes! macro <Alt-F2>.) Now
you are ready to "pedigree paste." Starting now from the Pedigree Search
menu:
6. Move to the desired individual using FR's normal methods
7. Press <F5> to insert the contents of the HotNotes! Clipboard
into Notes
8. Repeat Step 6 and 7 for all remaining individuals.
So there you have it. Remember to start at Step 1 again if you now want

to do the same with different information.
Tip 6: See a Note? Turn it into a Macro!
----------------------------------------
Do you see something on your Notes screen you would immediately
like to save as a macro? You can do this by first placing it
into the HotNotes! clipboard. To work, this note must be
entirely visible on one Notes screen. Using HotNotes!, first
use the extract command, then save the results in the
clipboard. Afterwards, define your macro:
1. Press <Alt-X> to highlight and select the desired text.
2. Press <Enter> to place the text into the Wordwrap Editor
3. Press <F1> to save the Clipboard
Now you can define a macro...
5. Press <Alt-K> to begin defining a macro
6. Press <F5> to paste the contents of the Clipboard to the
screen
7. (Optionally Press <Enter> to place a blank line after it.)
8. Press <Alt-K> and choose your desired <Alt 0-9> macro key
9. Press <Enter>, name the macro and then <Enter>
10. Press <Esc> to leave the View menu and save your macro to
disk.
Your screen text is now permanently saved under an Alt-number macro key!
Tip 7: Comment your Source Menu!
--------------------------------
You can place comments at the beginning of the Title in a source, which
appear in the Source Menu, but which do not insert into Notes. This
permits you to place short comments within a Source.
1. First pick a source you'd like to so label from the source
menu
2. Press <Enter> to View the source.

3. Next enter the Source Editor by pressing <Alt-E>.
4. Move the cursor to the beginning of the Title field.
5. Type "{" to begin your comment.
6. Type your comment.
7. Type a "}" curly bracket to end your comment.
8. Press <F1> to save your comments.
Return to the Source Menu and notice your new comments. If you fail to
place your comments at the beginning of the title field, your comment may
not be visible in the Source Menu.
Tip 8: Design your own Source Templates
---------------------------------------
A convenient feature within the Wordwrap or Source Editor is to insert a
source template. You can customize this file (SOURCE.SRC) by adding up
to 965 additional source templates into it. For example, let's say you
frequent the FHL in Salt Lake City. You may want to define a family of
Sources with FHL listed as the Repository, then add them to the Template
file for future use. Start with the desired source on the Notes screen.
1. First, move the cursor to that desired source.
2. Press <Alt-G> to Grab and select that source
3. Press <Enter> to bring up the source menu.
4. Press <Alt-L> to Load another source database. (This changes
the default database which will be loaded until similarly
changed again when you press the Alt-S command.)
5. Enter "SOURCE" as the database to load (make sure to spell
this exactly.)
6. Press <Alt-A> to add the source you grabbed into this
SOURCE.SRC database, the Template database.
7. Press <F1> twice to save it and exit the viewer.
Since the SOURCE.SRC database is now active, you can immediately add more
sources at this time: (Otherwise, start another HotNotes! session at
Step 1 above.)
8. Repeat Step 1 only above.

9. Press <Alt-S> to bring up the Source Menu
10. Then repeat steps 6 and 7 above.
In effect, you are adding additional sources to your SOURCE.SRC sample or
template file. You can use this by pressing the <F8> in either the
HotNotes! Source or Wordwrap Editors.
Tip 9: Use two Source databases simultaneously
----------------------------------------------
You may optionally redefine the Source Sample database as another file
during a HotNotes! session. You do this via the Wordwrap or Source
Editor
1. Press <F8> to bring up the Source database menu.
2. Press <Alt-L> to load another database.
You are prompted that this will change the default database invoked by
the <F8> key.
3. Enter the name of your desired alternate database and press
<Enter>
This new database now becomes active for all future <F8> presses during
this HotNotes! session, or until changed again in the same manner. You
may restore the SOURCE.SRC file again by simply typing the SOURCE name at
Step 3 above. Now you may quickly insert either the normal <Alt-S>
database or the <F8> source within the Wordwrap or Source editor.
Tip 10: Automatically check, backup and exit FR
-----------------------------------------------
Caution, this trick may not work on all PC's. This is for the advanced
users and meant to illustrate the power and versatility of HotNotes!
macros. Please test this first on your system by verifying that your
backed up files are done successfully. USE THIS TRICK AT YOUR OWN RISK.
Silicon Roots! Associates accepts no liability if your data is lost or
corrupted. Also, as recorded below, this macro does not allow you to
correct your data before backing it up if FRCHECK discovers an error.
On some systems, you may define a macro hotkey to automatically exit FR
from any FR menu, do a Check, then Backup your data, and finally exit to
the HotNotes! all with one keystroke. For example, lets start from the
Main Menu.

2. Press <zero> to exit FR to the Backup Reminder menu
3. Press <F1> to check your data
4. Press <N> to not print the listing, and FR check runs...
5. Press <Enter> to return to the Backup Reminder menu.
6. Press <F2> to backup. Insert diskette for backup.
7. Press <F1> to start the backup and following instructions on
screen
8. Press <Enter> when backup is complete to return to the Backup
Reminder menu.
9. Press <Enter> to return to the HotNotes! Launch menu
At this point it may appear that HotNotes! has quit, but in fact it is
only temporarily suspended. This is the TRICK:
10. Press <Enter> again to RETURN to HotNotes! running FR
11. When the HotNotes! Welcome Menu appears, immediately Press
<Alt-K>
12. Select your macro key and press <Enter>
13. Name your macro, i.e., "Exit, Check & Backup" then press
<Enter>
14. Press <Esc> to save your macro to disk.
You are finished. Test your macro by going to the Main Menu and pressing
the hotkey. This final tip is meant to illustrate the power and
potential of HotNotes! automating your FR functions.
